Payment chasing and follow-ups that create themselves

Automated task creation inside a project management platform used by translation and interpreting agencies.

The challenge

Agency staff were relying on memory and spreadsheets to chase unpaid invoices, confirm project deliveries and follow up on client statements. Jobs slipped through the cracks, and cash came in later than it should have.

What we built

  • A payment-chase task created automatically 30 days after an invoice is emailed, linked to the invoice and client and assigned to whoever sent it
  • A delivery task raised the moment a translation or interpreting project is marked complete
  • A follow-up task two days after a client statement is sent, for both single and bulk sends
  • A redesigned task calendar with Pending, Overdue and Completed filters and one-click completion

The result

  • Every invoice now has a chase-up scheduled from the moment it's sent
  • Nothing depends on someone remembering to set a reminder
  • Managers can see overdue follow-ups across the team at a glance
